Notes Resource Reservation

Wednesday 16th February, 2005
Following the previous discussion on Notes Resource bookings, I was lucky enough to receive a comment from Bruce Kahn, a former (current?) Iris developer, who I think is one of the coders sorting out the new C&S task for Notes/Domino 7. This got me thinking about a few things and what extra functions I could think of for this new task. I have a feature idea which I think would be very useful.

24hrs or so (configurable) before a booking is scheduled to begin, Notes could kick in a new bit of workflow.

You have a meeting "meeting title" scheduled for tomorrow, would you like to confirm this meeting?

You booked a room/projector for "date/time", is this still required?

You haven't received responses to all your invitation to tomorrow's meeting "meeting title" would you like to remind participants who haven't responded?

I think you can see where I'm going here...the amount of booked rooms that lie empty and stuff can be very frustrating in all companies large and small. By requesting confirmation 24hrs before, these rooms could be freed up.

What do you think Bruce?

Too bad not everyone got to go to LS 2005 and got a chance to check out ID110: Introducing the New Rooms & Resource Manager ( { Link } ). For Domino 7 we've done tons for R&R. Totally redesigned the system to greatly improve reliability and then added many new features. Since the cats out of the conference room so to speak I think it safe to post a summary of some of the R&R goodies you can look forward to:

1: Automatic reminder notices sent to Chairs to remind them of their pending reservations. (Very flexible on how often and who gets these). I think this directly covers that last bit...

2: Limiting how far out rooms/resources can be booked. Helps keep cyber-squating under control.

3: "Quick Reservations" are a more streamlined way to reserve a particular room or resource. Helpful for those times when you know its already available and dont want to go thru the normal search/picking process.

4: The ablity to swap or just transfer a reservation to another user. Perfect for those times when you need to swap reservations (or just to give it to someone else) without worrying that someone else may manage to reserve it if you did it the old way (Cancel my reservation so Ben can get the room and he then has to try to reserve it). One simple button click (along with picking the new Chair) is all the user needs to do now!

Those are the 'visible' features everyone can look forward to. There is also the entirely new clusterablity and application failover of reservation processing features too but thats just more for Admins/geeks than average users to appreciate.

By all means, Im always looking for new ideas for C&S and R&R so definitely keep suggesting them!

Oh yeah, I still working on Notes/Domino although Iris is no longer an official entitiy (snif, snif).

Anyone know how much of this new functionality is in Beta3? I haven't made time to take a look yet.

    "Its in there".

The Rooms & Resource Manager (RnRMgr) has been there since Beta 2. Fixes & tweaks in Beta 3.
